Crane Quoting Software: How to Get the Bid Out Before the GC Books Someone Else
Crane quoting software is the difference between a bid that lands in the general contractor's inbox before lunch and a bid that shows up after they already booked someone else. Most crane companies do not lose work on price. They lose it on speed, and on quotes that are missing the one line the GC needed to approve it.
This is the part of the business almost nobody systematizes. Dispatch gets a whiteboard. Inspections get a binder. Invoicing gets QuickBooks. Quoting gets a phone call, a legal pad, and whatever the owner can remember about what the last job like this actually cost. That works at three cranes. At eight it starts leaking money every single week.
What crane quoting software actually has to do
Generic estimating tools were built for trades that sell labor and materials. Crane work is not that. You are selling a machine with a load chart, a crew with certifications, a mobilization that costs real money before the hook ever moves, and a clock that starts somewhere and stops somewhere else. Any tool that cannot handle those four things is a word processor with a logo on it.
A crane quote has to answer five questions before a GC will sign it:
- Can you actually make the pick? Radius, weight, and configuration have to match a real load chart, not a guess.
- What does it cost to get there and back? Mobilization and demobilization, permits, escorts, and assist equipment.
- What is the clock? Portal to portal or on site, minimum hours, overtime threshold, standby rate.
- Who is coming? Operator, oiler, rigger, signal person, and whether those are billed separately.
- What happens if the day goes sideways? Weather, ground conditions, delayed access, and who eats that time.
If your quote leaves any of those blank, the GC does one of two things. They call for clarification, which costs you a day. Or they assume the answer, which costs you a change order fight in week three.
The five numbers that make or break a crane quote
1. Mobilization and demobilization
Mob and demob are the most under-billed line items in the industry. The crane leaves the yard, the crane comes back, and somebody decided years ago that a round number covers it. Meanwhile fuel moved, the escort rate moved, and the permit cost for that route moved. Build mob and demob from actual mileage bands and actual current costs, and reprice them on a schedule, not when you happen to notice.
2. Hourly rate with a real minimum
Four hour minimums exist because a two hour pick still burns most of a day once you count travel and setup. If your quote does not state the minimum in writing, you will get argued out of it on the invoice.
3. Assist equipment and crew
Support trucks, counterweight trailers, and a second operator for assembly are not rounding errors. Under OSHA 29 CFR 1926.1427, the operator running the equipment has to be certified for that type and capacity. That certification has a cost, and the quote should reflect who you are actually sending.
4. Standby and delay
Standby is the line that saves you when the GC is not ready. Price it, name it, and put the trigger condition in plain language. "Standby billed at full hourly rate after 30 minutes of crew idle time caused by site conditions" ends an argument before it starts.
5. Terms
Net 30 written on a quote is worth more than Net 30 argued about in month three. Ask any crane company owner how long they actually wait to get paid, then ask whether the payment terms were ever agreed to in writing before the crane rolled. Usually they were not.
Why spreadsheets lose quotes that crane quoting software wins
A spreadsheet is not a bad calculator. It is a bad system. The failure is never the math. It is everything around the math.
- Version drift. Three people have three copies of the rate sheet and two of them are from last year.
- No history. You cannot answer "what did we quote this GC last time" without digging through email.
- No handoff. The quote does not become a job. Somebody retypes it, and the retyping is where the errors live.

What to look for when you evaluate crane quoting software
Ask a vendor these questions before you sign anything. Make them show you, not tell you.
- Does it hold a rate card per customer? Your best GC is not paying list. That has to live in the system, not in your head.
- Can it price by crane, not just by hour? A 90 ton and a 300 ton are different products with different minimums, different mob, and different crews.
- Does the quote turn into a job with one action? If a human retypes the scope, you bought a document generator.
- Does the job turn into a field ticket? The hours signed in the field should be the hours on the invoice.
- Can you send it from a phone? Quotes written on the jobsite close faster than quotes written at midnight.
- Does it track what happened? Sent, viewed, accepted, expired. If you cannot see status, you cannot follow up.
- Does it version cleanly? GCs revise scope. Revision 3 should not be a new email thread.
- Does it keep the certification and inspection record attached? More GCs are asking for proof up front. Having it attached to the quote wins jobs.
From quote to ticket to invoice, without retyping anything
Here is the workflow that actually protects margin.
The quote is built from a rate card and a load chart, so the price is right and the crane can make the pick. The GC accepts it. That acceptance creates the job with the scope, the crew, and the rate already attached. Dispatch assigns the crane and the operator. The operator runs a pre-shift inspection under OSHA 29 CFR 1926.1412 and it logs against that job automatically. At the end of the day the field ticket captures actual hours, standby, and any extra equipment, and the GC signs it on the spot. That signed ticket becomes the invoice.
Nobody retyped anything. Nobody had to remember what the quote said. And when the GC calls in six weeks to dispute an hour, you pull the signed ticket that ties back to the quote they accepted.

What quoting slow actually costs you
The crane rental market is projected at roughly 59.31 billion dollars in 2026, growing at about a 6.10 percent compound annual rate toward 84.83 billion by 2032, driven by infrastructure work, high rise construction, manufacturing reshoring, renewable energy, and data center buildout, according to a Research and Markets crane rental market forecast. That demand is not evenly distributed. It goes to the companies a GC can get an answer from.
Run the arithmetic on your own shop. If you quote four jobs a week and lose one purely because you were third to respond, and the average job is a two day pick, you are giving away roughly a hundred crane days a year. That is not a pricing problem or a sales problem. That is a response time problem, and response time is a systems question.
The load chart is not optional
One more thing that belongs in the quoting conversation. OSHA requires that the procedures applicable to operating the equipment, including rated capacities, be available in the cab at all times under 29 CFR 1926.1417. If the load chart lives in the cab but nowhere near the person building the quote, you are pricing picks on memory. That is how a crane shows up to a job it cannot do at that radius, and that is a very expensive morning.
