What Software Do Crane Companies Use? A Straight Answer by Category and Company Size
Most crane companies use a combination of four software categories: dispatch and scheduling software to place cranes and crews on jobs, inspection and compliance software to document OSHA-required inspections, certification tracking software to keep operator and rigger credentials current, and accounting software to turn field tickets into invoices. The problem is that in most crane companies these four things live in four different places, and two of them are spreadsheets.
If you searched for what software do crane companies use, you are probably not asking an academic question. You are asking because something broke. A cert expired and nobody caught it. A field ticket went out on a Tuesday and came back signed three weeks later. A dispatcher double-booked the 300-ton. This guide walks through what crane companies actually run, category by category, what each category does well, where the seams tear, and how to decide what you need before you spend a dollar.
The four software categories every crane company touches
Whether a crane company has 3 cranes or 40, the same four jobs have to get done every week. What changes is how much of it is software and how much of it is a person remembering.
1. Dispatch and scheduling
This is the board. Which crane goes where, with which operator, on which day, for how many hours. Small crane companies run this on a whiteboard, a shared calendar, or a spreadsheet that only one person fully understands. Once you pass roughly 8 to 10 cranes, that breaks, because the number of possible conflicts grows faster than the number of cranes. You are not just tracking crane availability. You are tracking operator availability, certification validity for that specific crane class, travel time between jobs, and whether the customer moved the pick again.
Purpose-built crane dispatch software solves the part a calendar cannot: it knows a crane and an operator are two separate resources that both have to be free, and it knows an operator without a current card for that equipment is not actually available.
2. Inspection and compliance documentation
This is the category most crane companies handle worst, and it is the one with federal penalties attached. OSHA's crane standard for construction, 29 CFR 1926 Subpart CC, sets separate inspection obligations that are not interchangeable. Under 1926.1412, you have shift inspections, monthly inspections, and annual or comprehensive inspections, each with its own scope and its own documentation expectations. Wire rope has its own rule under 1926.1413.
Paper inspection forms satisfy the letter of the rule right up until you need to produce eighteen months of them for a specific crane on a specific job, in order, signed. Then the binder becomes the problem. Inspection software matters less for the inspecting and more for the retrieval.
3. Operator and rigger certification tracking
Under 1926.1427, employers have to ensure operators are certified or qualified, and since the 2018 operator qualification final rule, employers also carry a permanent, documented duty to evaluate their operators. OSHA's rule text is explicit that the evaluation has to be conducted by someone with the knowledge, training, and experience to assess operators, and that the employer keeps the duty even if the evaluation is assigned to an agent. The same standard requires the employer to provide required certification at no cost to the employee.
So you are not tracking one date per operator. You are tracking the certification, the expiration, the equipment classes it covers, the employer evaluation record, and for riggers and signal persons, the qualification documentation under 1926.1419 and related sections. Most crane companies do this in a spreadsheet with a conditional-formatting rule that turns a cell yellow. That works until the person who built the spreadsheet goes on vacation.
4. Field tickets, billing, and accounting
The crane does the work. The field ticket proves it. The invoice collects for it. Every hour between those three events is an hour your money sits in a truck. Most crane companies run QuickBooks or a similar general ledger, which is fine, because QuickBooks is a good accounting system and a bad crane system. It does not know what a pick is. It does not know that an eight-hour minimum plus travel plus a two-hour standby is one line item to the GC and three to you.
The gap is between the signature in the field and the entry in the ledger. Whatever fills that gap, software or a person driving tickets back to the office, is the single biggest lever on your cash cycle.
What software do crane companies use today, by company size
The honest answer changes with headcount, and pretending otherwise is how vendors sell $40,000 of software to a company that needed a better dispatch board.
1 to 5 cranes. Usually a whiteboard or shared calendar for dispatch, paper or PDF inspection forms, a spreadsheet for certifications, and QuickBooks for billing. This works. The owner is the system. The failure mode is that the owner cannot get sick, take a vacation, or grow.
6 to 15 cranes. This is where it snaps. Dispatch conflicts become weekly instead of rare. Certification tracking has enough operators that a spreadsheet genuinely misses one. Field tickets pile up because there is no longer one person who touches all of them. Most companies at this size buy their first real dispatch tool and keep everything else where it was, which means they now have five systems instead of four and none of them talk.
16+ cranes. At this point companies either run a crane-specific operating platform or they run a general equipment or field service platform with crane workarounds bolted on. The workaround approach is common because horizontal field service tools have bigger sales teams. It is also where you end up explaining to a software vendor's support rep what a load chart is.
Crane-specific software versus general field service software
This is the actual decision most crane company owners are making when they search for crane company software, so it deserves a straight answer.
General field service and equipment rental platforms are mature, well-funded, and built for a wide market: HVAC, plumbing, electrical, general equipment rental. They handle scheduling, work orders, and invoicing competently. What they do not handle is the crane-specific layer. They have no concept of load charts, no concept of certification-by-equipment-class, no concept of the shift-monthly-annual inspection hierarchy in Subpart CC, and no concept of a lift plan. You can force those into custom fields. Every crane company that has tried will tell you what custom fields cost you in operator adoption.
Crane-specific software starts from the yard instead of from the office. The tradeoff is a smaller vendor ecosystem and fewer integrations out of the box. The question to ask a vendor is not whether they support cranes. It is whether they can explain, unprompted, the difference between a shift inspection and a monthly inspection, and why your certification tracking has to know equipment classes. If they cannot, you are buying a scheduling tool with a crane label on it.
The seam problem: why more software often makes it worse
Here is the pattern that shows up in almost every crane company over 10 cranes. Dispatch lives in one tool. Inspections live on paper or in a second tool. Certifications live in a spreadsheet. Billing lives in QuickBooks. Each one works. The company still runs on the owner's memory, because nothing in that stack can answer a single practical question: can this operator legally run this crane on this job on Thursday, and is the crane's inspection current?
Answering that requires the dispatch system to know the certification data and the inspection data. If those live in three places, a human has to be the integration. That human is usually the owner, at 9 PM, on a Sunday, with a spreadsheet open.

What to fix first
If you are running mostly on spreadsheets and paper and you cannot replace everything at once, fix in this order, because this order follows the money and the risk.
- Certification tracking first. Cheapest to fix, highest downside if it fails. An expired card that puts an operator on a crane is a citation and a liability problem at the same time. Under the 2026 OSHA penalty schedule, a serious violation runs up to $16,550 and a willful or repeat violation up to $165,514 per violation, per the agency's 2026 civil penalty memorandum.
- Field ticket to invoice second. This is pure cash flow. Every day you compress between the signature and the invoice is a day of working capital back in the business.
- Inspection documentation third. Not because it matters less, but because paper inspections do satisfy the rule. The upgrade buys you retrieval speed, which you need on audit day and after an incident.
- Dispatch last, unless it is actively breaking. If you are double-booking cranes weekly, move it to first. If you are not, the whiteboard is not what is costing you money.
